Terms & Conditions for Clinic Bookings

1.   INTRODUCTION

Your custom is very important to the team here at icpc Health and we will always do our very best to fit you in for an appointment at a time that works for you.

 

We take your appointment as a verbal contract and the time slot is reserved especially for you.  For this reason, please understand that when you forget or cancel your appointment without giving enough notice, your valuable appointment slot will be wasted and we miss the opportunity to offer that appointment time to other patients on our waiting list.  

We therefore ask that if you are unable to attend your appointment, please contact us ASAP and at least 24 hours in advance to avoid a cancellation charge.  

Please let us know if you change your mobile number or email address so we always have your current contact details on file and can get in touch with you when necessary.

2.   FULL TERMS AND CONDITIONS

  1. For online bookings, full payment is made via our website to secure a booking.  In case of a no-show or late cancellation this is non-refundable or transferable.

  2. Cancellation fees are charged to cover loss of income as we are unable to fill the cancelled space in a short period of time. 

  3. Cancellations must be made at least 24 hours before your appointment.

  4. All returning patients who fail to attend an appointment will be asked to pre-pay in full for their next appointment.

  5. Time slots are allocated in accordance with the services required. If you are more than 15 minutes late, your appointment may have to be cancelled or rescheduled so as not to delay other patients.  Any payment made online will not be refunded.

  6.  Under 16s will need to be accompanied by a parent or guardian to the appointment.

  7.  In the event we need to reschedule or cancel your appointment due to events outside of the Company's control we will do our best to find the next available appointment.  If you have paid online we will transfer the payment to the rescheduled appointment or refund it should you wish to cancel. Online booking payments can take up to 5-10 working days to be refunded.

  8. Should an appointment take longer than initially booked you may incur an additional charge to cover the extra costs. 

 

We operate a cancellation policy for all our clinical services.  This information outlines why and how we apply the policy:

 

·           We are happy to cancel and reschedule appointments without any penalty or administration fees up to 24 hours before your appointment.

 

·           Less than 24 hours’ notice will incur a 50% cancellation charge.  This short notice means that we will be unable to re-use the appointment time to support other patients.

 

·           Non-attendance or cancellation less that 2 hours prior to your appointment will incur a 100% cancellation charge

 

·           If you may be late for your appointment, please contact us on 01467 633444 at the earliest opportunity and every effort will be made to accommodate you

 

·           We will always do all we can to help, however if you arrive late for your appointment, you may not get the full time allocated.  You will be charged for the time allocated for your appointment

 

·           If you arrive more than 15 minutes late, your appointment may have to be cancelled and rescheduled, and may incur a 50% charge.  This is to ensure other patients appointment times are not delayed.

 

·           Please note that if your treatment is being covered by private health insurance then these charges may not be covered, and you will be liable for payment.

 

Cancellation fees are based on a proportion of the cost of the appointment and cover the loss of income incurred due to being unable to fill the cancelled appointment in a short period of time.
